business owner writing email templates

Catch up now on Part 1 & Part 2:

Now that you have eliminated mental roadbumps in part two, it’s time to focus on one of the most overlooked parts of running a business: how you communicate.

Great communication isn’t about saying more—it’s about saying the right things, in the right way, at the right time. The goal is not just to inform, but to guide. Every message should clearly lead your client to the next step.

If your clients aren’t reading your emails or following through, it’s not them—it’s your message.

In this part of the series, we’ll explore how to clean up your communication and ensure every message you send includes a clear and purposeful Call to Action (CTA).

Why Step-by-Step Clarity Matters

Too many business owners fall into the trap of “email word vomit”—rambling messages filled with too much detail and not enough direction. This overwhelms clients, leads to inaction, and makes your business feel chaotic instead of trustworthy.

Every piece of communication—whether it’s a welcome email, reminder, or confirmation—should answer these two questions:

  • What do they need to know now?
  • What happens next?

When writing or editing your client emails, ask yourself:

  • What can wait?
  • What’s irrelevant at this stage?
  • How can I say this more clearly?
  • Can I format this to be easier to read?

Simple, skimmable emails = higher engagement and faster client action.

Build a CTA Culture

Don’t send emails “just to stay in touch.” Send with purpose.

Each client touchpoint should include one clear, direct action you want them to take. Examples of strong CTAs include:

  • “Schedule your session”
  • “Review and sign your contract”
  • “Confirm your details here”

Avoid vague phrases like “let me know” or “feel free to reach out.” Your client isn’t a mind reader. Tell them exactly what to do—and make it easy.
